Legal Executive Assistant

Supply Ontario is looking for a detail-oriented Legal Executive Assistant to support our expanding Legal Services Division. In this key role, you will provide high-level executive administrative support to the Chief Legal Officer (CLO) and the legal team, while also assisting with legal clerk duties. You will play an integral part in managing the day-to-day operations of the legal department, ensuring efficiency and excellence in service delivery.

Your key responsibilities will include:

  • Supports the CLO to maintain linkages with Supply Ontario leadership, external counsel and stakeholders and addresses administrative needs.
  • Provides confidential administrative support, including maintenance of calendars, preparation of agendas and documents for meetings, coordinates the preparation and compilation of background materials.
  • Drafts and coordinates the creation and distribution of routine correspondence on behalf of the CLO, including proof reading for accuracy and correctness.
  • Conducts thorough research on case law, statutes, and legal precedents to support legal arguments and decision-making.
  • Drafts legal documents, including pleadings, motions, briefs, and contracts, ensuring accuracy and compliance with legal standards.
  • Organizes and maintains legal files, both physical and digital, ensuring easy access to relevant information for lawyers and maintains files and records in an organized, consistent, and confidential manner, using Supply Ontario’s procedures for protecting and maintaining the privacy of records, and following relevant document retention schedules.
  • Leads and participates on a variety of legal projects working collaboratively with the legal team.
  • Promotes and supports Supply Ontario’s culture which respects equity, inclusion, diversity and antiracism.
  • Exhibits confidentiality, discretion and superior judgement regarding all matters conducted in the executive’s office and safeguarding the confidentiality of personnel information, administrative records, files, and communications.

Successful candidates will demonstrate the following:

  • Graduation from a college or university (i.e. a legal clerk or paralegal program) or equivalent education and experience.
  • Preference for certification with the Institute of Legal Clerks or a licensed paralegal.
  • 4 – 6 years’ experience in providing executive level support within a highly demanding legal in-house or law firm environment with expertise in and managing competing priorities and deadlines.
  • Preference for knowledge of contract management, commercial and corporate law experience.
  • Knowledge of the protocols and practices of an in-house legal department within a public or private sector environment.
  • Knowledge of applicable policies, procedures, and guidelines pertaining to the delivery of legal services with an emphasis on commercial and corporate law.
  • Strong analytical and evaluative skills to assess issues and inquiries to determine their urgency and impact.
  • Critical thinking skills to recommend viable and effective administration solutions and review and coordinate information for the Executive Lead.
  • Excellent interpersonal skills and professionalism to connect and build relationships with a wide range of stakeholders.
  • Well-developed organizational and time management skills to prioritize activities, issues, and multiple demands; assess and reassess workload and priorities regularly to determine what time-sensitive priorities must be completed urgently while staying on top of other less urgent tasks.
  • Political acuity to pro-actively identify issues for executive discussion and stakeholder consultation.
  • Strong verbal and written communication skills to relay and clarify information in a manner adapted to the requirements of specific situations and audiences ensuring the high quality of all documents, submissions, and correspondence originating from the executive officer.
  • Proficient with Microsoft Office (Word, Excel, PowerPoint, SharePoint, Teams) and other internal applications, as required.

Supply Ontario offers a competitive compensation package including benefits and defined benefit pension plan.

The selected candidate will be required to reside and work in Ontario and be legally eligible to work in Canada.

This job offers the opportunity to work from home as part of a hybrid work arrangement; at the time of posting, this position would require in-office presence 3 days per week, based on current operational requirements.
